What the Building Plumbing Records Request Application is for

Owners, buyers, builders and designers use this form to get copies of documents from council's building and plumbing files, for example for renovations, a new structure, a commercial fit-out or proof of finalisation. Councils keep building approval documents available for inspection and purchase under schedule 22 of the Planning Regulation 2017. For most class 10 structures (sheds, carports and the like, but not pool fences) that obligation ends 10 years after approval, so older records may no longer exist. The form offers domestic building plans (per application or per property), a full building file, specific documents such as a soil test or glazing certificate, the plumber's mark-up or sanitary drainage plan, commercial as constructed hydraulic plans and copies of final certificates such as a Form 21 or certificate of occupancy.

When you need it

  • You need copies of approved site, floor and elevation plans for a house, shed, pool or extension.
  • You need the full building file, including the decision notice, engineering reports and certificates.
  • You need the sanitary drainage plan for a house, or the as constructed hydraulic plan for a commercial or multi-residential site (townhouses, units and duplexes count as commercial).
  • You need a copy of a final certificate, certificate of occupancy or plumbing compliance certificate.

How to fill it in

  1. 1

    Applicant details and delivery

Give your name, postal address, email and phone numbers, then choose delivery by email or collection from the Caboolture, Redcliffe or Strathpine office. Council may use these details to update its records.

  2. 2

    Subject property

Enter the street address and lot and plan. Add the file, application or permit numbers if you know them, and describe the structure (house, shed, pool, extension or plumbing work). Council says missing details may delay the request.

  3. 3

    Document request

Tick each item needed. For a specific document, list it under item details. Note that stormwater plans, building envelope plans and plan of development plans are not available through this form.

  4. 4

    Sign the customer summary

Sign and date the form to accept that fees are mainly for search time and are not refunded if the search is unsuccessful.

Common mistakes

  • Council's page says you may need proof of ownership, a letter from the owner, or, if you are buying, a copy of the signed contract of sale.
  • Building envelope plans can be found through council's DA Tracker rather than this form.
  • Private building certifiers use the state Form 19 request for building information instead.
